Bolisa

Finance

Connect each shipment to the money that follows it.

In freight forwarding, profit leaks between departments: a cost paid but never billed, an invoice issued late, a customer who keeps shipping past their limit. Bolisa keeps the buy and sell side of every shipment on its file, controls how vendors are paid, and checks customer credit before the work goes ahead.

What your teams can do

Credit control before the work starts

Decide how Bolisa treats a customer who is over their limit or overdue at each point in the process: a new file, an added service, a freight release, a delivery order or a truck dispatch. For each, choose to allow it, warn, require approval or block it. Approvals are requested and granted in Bolisa, overrides need a reason, and every check is recorded. Each customer’s page shows what they have been billed, what they owe and what is overdue against their limit.

Vendor payments with approvals

Payment requests are raised from the shipment’s own costs and approved by operations and finance. Settle them in full or in part, attach receipts, and record refunds. Freight release requests, from original B/L to telex release, go through the same approvals and the customer’s credit check.

Cash advances your auditors can follow

Give advances against a file, or floats to your field staff. Each is approved by finance and audit, paid out with proof, and settled against costs with receipts. Refunds, transfers and top-ups are recorded on a ledger that can’t be edited, and overspending creates a reimbursement automatically.

Receipts from the field

Field staff settle expenses from their phone and photograph receipts, with the edges of the document detected automatically.

Invoicing from the file

Generate invoices and debit notes from the shipment’s uninvoiced charges, split by bill-to party and currency, and issue them with the day’s exchange rate. Proforma invoices are built the same way. After a short cancellation window, corrections are made with credit notes, so issued documents stay traceable.

Receivables in one register

Costs and margins on every shipment
Every service line carries its buy and sell side, the vendor, the currency and the exchange rate, priced from your rates or the customer’s offer. A price typed by hand needs a reason when a matching rate exists. Part of a charge can be billed on a debit note and the rest on the invoice.
Several currencies on every shipment
Costs and invoices can be in different currencies, the exchange rate is recorded on each, and profit is reported in one currency.
Files that don’t bill a customer
Moves for your own account, such as repositioning your own trucks, keep their costs and payments without an invoice, and stay out of your commercial figures.

Controls built in

ServesReliable ExecutionInformed Decisions

  • A cost is paid either through a payment request or through an advance, not both.
  • A double-click on a payment, settlement or disbursement can’t record it twice.
  • Issued invoices are corrected with credit notes, not edited.
  • A file closes only when every service is reviewed and fully invoiced.
